Position Description:

This individual will be a vital member to the Meetings & Events Department and will work closely with the Global Events Director. They will need to be dynamic, adaptable and have a great sense of humor. This energetic, detail-oriented and highly organized individual will use their attention to detail and their organization strategies to ensure that an event meets and exceeds a client’s expectations. This individual will display the ability to roll up their sleeves to do whatever it takes to accomplish the project. They will have the expertise to source quality vendors for venues and gifts while staying within a client’s desired budget. The array of internal and external meetings and events that this individual will help execute range in size from 10-450 people and may include the following:   Managing Director Retreats, Investor Conferences, CEO Summits, Training & Development Programs, Business Unit Offsites, Holiday Events and other employee related events. 

Skills & Qualifications: 

• Excellent verbal and written communication skills

• Creative thinking and problem-solving skills

• Ability to multitask efficiently

• Team Management – Must coordinate with internal AV team and external vendors to make sure everyone has what is required to execute the event

• Budgeting – Must keep costs within an allocated budget, track costs and reconcile invoices post event

• Logistics – Must possess a degree of skill in logistics to properly plan the details and anticipate potential problems that may arise

• Must be available for evening events and some travel as needed

Responsibilities:

• Listen attentively to customer requests

• Research venues and create a PowerPoint Presentation with available options

• Manage and budget expenses

• Select an appropriate venue suitable for the event

• Have a good knowledge of geographic locations

• Organize audiovisual equipment

• Coordinate hotel accommodations, meeting space, ground transportation, food & beverage selection and gifts

• Create themed name badges, gift bag labels, and menus

• Attend and monitor events to ensure client satisfaction

• Review and process payments

Education:    

• A bachelor’s degree in event planning or marketing is preferred
